Document Viewer

The Document Viewer has several options available for viewing, indexing, and editing a document. From the Document Viewer, you can easily scroll through the pages of a document, search the content of the document, view document specific history, and issue actions such as print, move, copy, or export. The icons available within the Document Viewer Toolbar may vary based on permissions and actions being performed.

The document viewer toolbar allows for actions such as keyfree indexing, taking actions and viewing the history.

  1. Toggle Left Sidebar ( menus.png ) - Show or hide the Navigation Panel.

  2. Results ( Results.png ) - Returns to the Search Results View.

  3. Document Navigation - When opening multiple documents, navigate between the documents.

    1. Next Document ( right-arrow.png ) - Opens the next document in the document pane and updates the indexer with the appropriate data fields.

    2. Previous Document ( left-arrow.png ) - Opens the previous document in the document pane and updates the indexer with the appropriate data fields.

  4. Save ( save.png ) - Saves all changes made to the document.

  5. KeyFree ( Keyfree.png ) - Use KeyFree Indexing to rapidly extract high-value data from your documents with just a few clicks of your mouse. Just click on any text on the document and KeyFree Indexing can pull the data from the document image and place it in your Index Fields.

  6. Copy link to clipboard ( link.png ) - Copies a link directly to the document to the clipboard. Any user following the link will need login credentials to view the document.

  7. Related Searches ( Relate Search.png ) - Select a search to run from the list using the corresponding index data from the document being viewer.

  8. Data XChange ( exchange.png ) - Look up data in a source location for the editable Index Fields in the GlobalSearch record that you have open in the Document Viewer.

  1. Actions ( Actions Menu.png ) - Do more with your documents.

    1. Open in Full Viewer - Opens the selected document(s) in the legacy GlobalSearch browser client.

    2. Export- Exports the selected document(s) as separate files in their native file format.

    3. Enhanced Export- Export data and documents from GlobalSearch.

    4. Email - Automatically create new email messages with selected GlobalSearch documents attached. Send with or without annotations and use an index field as the file name.*

    5. Print - Print document to a printer or PDF file. The exact printer settings and behavior will depend upon your browser application and printer setup.

    6. Launch - Open a document in its native format to make edits and save changes back to GlobalSearch.*

    7. Copy - Creates a copy of the selected document(s) into an archive or inbox.

    8. Insert from inbox - Appends one or more documents from an inbox to the beginning (prepend) or end (append) the selected document.

    9. Insert from search - Appends one or more documents returned as a result of a Favorites search to the beginning (prepend) or end (append) the selected document.

    10. Move- Move the selected document(s) to a new archive.

    11. Delete- Deletes the selected document(s).

    1. Index Fields ( Index Field Pane.png ) - Displays the list of index fields and table fields ( Data Table.png )available in the archive and any data associated with the document. If a document is part of a workflow, it will be indicated at the bottom of this pane and include buttons for any available workflow actions.

    2. Document History ( folder.png ) - This pane shows the history of the selected document, with each action taken displayed as an entry in the list.

  1. Document Pane - Displays the document in the document viewer. Work with your document using the tools of the Document Pane Toolbar.

Main component of the page is the document viewer pane that displays the pages of the document and has tools for zooming and rotating, etc.

  1. Toggle Sidebar ( side-bar.png ) - By default, the thumbnail pane within the document is always closed. Clicking on the Toggle Sidebar will expand and collapse the thumbnail pane. Functions not available in the document will be disabled.

    1. Show Pages ( show pages.png ) - Displays the pages as thumbnails in the sidebar.

    2. Show Document Outline ( Outline.png ) - Displays the document outline if one exists.

    3. Show Attachments ( attach.png ) - Displays a list of any attached files. Clicking the attachment will download a copy of that attachment to the local drive.

    4. Show Layers ( layers.png ) - Displays a list of layers on the PDF. Show and hide any available layers.

    1. Left Arrow (left.png) - Move to the pervious instance of found text.

    2. Right Arrow (next.png) - Move to the next instance of found text.

    3. Highlight All - Highlights all found instances of the word or phrase.

    4. Match Case - The case of the found text must match the case of the search text.

    5. Match Diacritics - Only match words that have the same diacritics (accent marks, cedillas, etc.).

    6. Whole Words - Only entire words that match the search text will be highlighted.

  2. Page Navigation - Move between pages of the document.

    1. Previous Page (up-arrow.png) - Move to the previous page of the document.

    2. Next Page (down.png) - Move to the next page of the document.

    3. Page Select - Enter a specific page to “jump” to the indicated page.

  3. Document Scaling - Zoom in, zoom out, or fit the document to optimize viewing.

    1. Zoom Out ( minus.png ) - Makes the document smaller in the document pane allowing for viewing more of the pages in the window.

    2. Zoom In ( plus.png ) - Makes the document larger in the document pane allowing for viewing a larger, closer image.

    3. Zoom Options - Select preconfigured sizes.

      1. Automatic Zoom - Optimal zoom is selected based on window size.

      2. Actual Size - Sets the zoom to 100%

      3. Fit Page - Fits the entire page in the window.

      4. Fit Width - Fills the width of the window with the document.

  1. Print ( printer.png ) - Print document to a printer or PDF file. The exact printer settings and behavior will depend upon your browser application and printer setup.

  2. Save ( Save download.png ) - Download a copy of the document in its original file format to local storage.

    1. Presentation Mode - Opens the document in full screen mode.

    2. Current Page - Not currently implemented.

    3. Go to First Page - Jump to the first page of the document.

    4. Go to Last Page - Jump to the last page of the document.

    5. Rotate Clockwise - Rotates all pages of the document to the right by 90 degrees.

    6. Rotate Counterclockwise - Rotates all pages of the document to the left by 90 degrees.

    7. Text Selection Tool - Select text within the document that can then be copied elsewhere. This does not allow editing of the document.

    8. Hand Tool - Click and drag to move the document around in the viewer pane.

    9. Page Scrolling - Limits scrolling to one page. Use the page navigation buttons to move between pages.

    10. Vertical Scrolling - Pages are arranged vertically. Scroll up and down the entirety of the document from page to page.

    11. Horizontal Scrolling - Pages are arranged horizontally. Scroll side to side the entirety of the document from page to page.

    12. Wrapped Scrolling - When zoomed out of a large document, if pages are side by side, scrolling will scroll left to right through the row before scrolling vertically to the next row.

    13. No Spreads - Pages are arranged in a single column.

    14. Odd Spreads - Pages are situated in 2 columns with an odd page followed by an even page in the same row. Each odd page starts a new row.

    15. Even Spreads - Pages are situated in 2 columns with an even page followed by an odd page in the same row. Each even page starts a new row.

    16. Document Properties - Displays the document properties such as file type, size, author, etc.

  1. Table Data - When a document has table data and the Table Data index field is selected, the table will appear at the bottom of the Document Pane.

    1. Table Field ( Data Table.png ) - Indicates the index field is a table field in the grid view. Clicking the table field icon will display the documents data in a data table below the search results grid.

    2. Add a Row ( plus.png ) - Adds a row to the table. If no row is selected or multiple rows are selected, the row is added to the bottom of the table. If a row is selected, the new row is added below the selected row.

    3. Delete a Row ( trash-bin.png ) - Deletes the selected row(s).

    4. Save ( save.png ) - Saves any changes/updates to the table without closing the table view.

    5. Close ( close.png ) - Closes the table view in the grid.

Additional Document Viewer Icons

These icons appear only under specific circumstances and are generally not available in the Document Viewer Toolbar.

Save (All) ( save all.png ) - This icon appears in the Document Viewer Toolbar when adding multiple new documents to an archive via an Import process. Selecting Save All, will associate the index data entered on the current document to all the documents of that import.

OCR ( OCR.png ) - This icon becomes available when Force OCR KeyFree is disabled in the User Settings. By clicking this icon, GlobalSearch will run OCR on the document in the document viewer and use the new OCR layer for KeyFree indexing, ignoring the existing text layer if one is present.

Cancel Indexing ( cross.png ) - Becomes available when Indexing a document from an Inbox to an Archive. Canceling clears any entered data and returns the document to the Inbox.

Workflow Details ( info.png ) - The workflow details icon appears when a document is part of a GlobalAction workflow. This contains information about the workflow including the Process ID.

Version ( version.png ) - The version icon appears on any document in a Versioned Archive. When selected, it displays which version of the document is currently being viewed and allows for access to pervious version. When viewing a previous version, the icon turns red.

Access to version requires Version permissions. Contact your GlobalSearch Administrator for your permission settings.
